A pay run turns approved hours, pieces and commissions into pay for a period. Payroll is an early access tool today, so it only appears for owners and admins on a paid plan who have turned on Early access in Settings, App.
Run payroll
Pay runs sit beside Timesheets and Commissions on the Payroll page. A run is a draft until sent, and a draft can be deleted without paying anyone. The hours stay approved for the next run. Only an admin, or a manager who runs payroll, can send. The Run payroll flow goes in order.
- Pay period: the dates and the pay date.
- Who is ready: people whose hours are approved, and who is waiting. Approve sheets from here, and set a rate for anyone without one.
- Preview: the server works out every line. Nothing is committed yet.
- Crew sign-off (optional): ask the crew to confirm their hours first. Only people with the app are asked. You can pay over an open sign-off but must give a reason.
- Send: choose how people get paid.
How people get paid
Every run ends with a choice. If a hand-off fails, the run is saved and you can try Send again. When a provider has paid, the run updates by itself.
- I pay it myself: you pay your own way and the run is marked paid. Hours, pieces and commissions in it are stamped paid.
- Gusto: hours and pay go to your open payroll in Gusto, and you submit it there. Gusto calculates taxes and net and pays by direct deposit. Connect Gusto in Settings, Integrations first, and match your crew to Gusto's people.
- Check: Check withholds taxes and pays by direct deposit. It is a separate early access step and may not appear on your workspace.
A person's pay setup
Each person is hourly or salaried, with an overtime multiplier, and a pay frequency of weekly, biweekly, semi-monthly or monthly. Piece pay and commissions are paid through the same run. Trade classification and state are set when you add the person.
Stubs
Make stubs and tell the crew makes every pay stub and notifies each person with the app. Stubs show on My pay. A stub from a provider is marked with its name. A voided run releases its hours back to approved.
Who sees it
Pay is gated apart from managing the crew. Someone can assign crew and approve time without seeing what anyone earns. See Who sees what.
The tax and withholding rules, rates by trade and state, are handled on the server, and a provider's own calculation replaces ours when you send a run to it.
