Questions

Billed and collected show different numbers — why?

Because they mean different things and are deliberately never merged. Billed is what you've asked for. Collected is what has actually arrived. The gap between them is your receivables, and seeing it is the point.

Can I accidentally bill a job twice?

No. Draft invoices reserve the amount they cover, so the billable figure is what's unbilled minus what's already drafted. Every billing path is clamped to it — milestone draws, percent-complete, and custom amounts alike.

What is unbilled backlog?

Signed work you haven't asked for yet. It's money you've already earned and simply haven't invoiced, which makes it the fastest cash in your business — and the number most contractors never look at.

What does DSO mean?

Days Sales Outstanding — your outstanding balance divided by average daily billings over the trailing 90 days. It answers how long it takes you to turn work into cash. Watch whether it's moving rather than judging its absolute value.

How does retainage work?

Set the job's retainage rate and retention accrues as that rate applied to what you've billed. It becomes releasable when the job reaches Completed, and the receivables scoreboard shows both what's held and what's ready to bill.

A payment came in but isn't on any invoice.

It's flagged as unapplied rather than lost or force-fit. Match it from the unapplied list — the app suggests open invoices with that customer's own first, and applying it updates the payment and the invoice together so it can't over-apply.

Why can't I edit this signed contract?

Because it's what the customer agreed to. A signed contract is read-only on purpose. Changes after signature go through a change order, which adjusts the contract total on approval.

Did the customer actually open the proposal I sent?

Check the links ledger on the customer or job. It shows every link sent, how many times it was opened and when it was last seen. Knowing they never opened it changes your follow-up call entirely.

What's the difference between margin and markup?

Margin is profit as a share of the sell price; markup is the same profit as a share of the cost. They are not the same number — a 50% markup on cost is only a 33% margin. The estimate editor shows both so you never mistake one for the other.

Why can't I see margins or receivables?

Financial access is a separate permission from your access level. Without it you still run jobs and send proposals, but cost, margin, and receivables are hidden. Confidentiality is enforced on the server, so hidden really is hidden.

How do I hand in a receipt?

Open Expenses (called My expenses if you don't have money access). Tap Add expense, photograph the receipt, say whether it was for a job or overhead and how you paid, and save. The office approves it, and reimburses you if you paid out of pocket.

Where do I turn on financing?

Open Settings, Getting paid, Financing. Financing is an early-access feature, so it may not be listed yet. When it is, paste your lender link there, and Offer financing appears on jobs and invoices.

What do the filters on Money mean?

To send: ready but not sent. To sign: waiting for the customer's signature. Awaiting payment: sent and unpaid. Overdue: past due. All shows everything. Proposals open from the same page.
