Questions

What is the CRM?

It's the business half of the app: Today, Jobs, Customers, Money, Crew and the rest of the rail, which carry work from a lead to money in the bank. Measuring is free forever; the CRM comes with a paid plan, and with the 14-day free trial.

Who can access the CRM?

Anyone with Office or Admin access on a paid plan. Field crew get Today and My Visits instead: their visits, photos, daily logs and the clock. They never see customers or money, and they never use a seat. Seeing money is a separate permission on top: without it, someone still runs jobs and sends proposals but doesn't see margins, receivables or costs.

What is the difference between an estimate, a proposal, and a contract?

They are the same document at three moments of its life. While you price it, it's a Proposal in draft. When you send it, it's the Proposal awaiting a yes. The moment it's signed it becomes the Contract — locked, read-only, and binding. There is no separate agreement to write, and the signed proposal IS the agreement.

What happens when a customer signs?

Signing is the pivot. Pricing locks, the document becomes the Contract and goes read-only, the payment schedule is created, the deposit invoice is drafted, and the work moves into Jobs carrying its drawing, customer and scope. The deposit is sent automatically only if you turned that on in Settings, Getting paid, Invoices & terms.

Can I still edit a proposal after it's signed?

No. A signed contract is read-only on purpose — it's what the customer agreed to. Changes after signature go through a change order, and an approved change order adjusts the contract total automatically.

How do I bill a job?

There is one billing door: Bill a Job. It's on the plus button and on Money. Pick the job, and the invoice is drafted against that job's contract and what's already been billed. Billed means what you asked for; collected means what arrived. The two are never mixed.

Where do I see who owes me money?

Money. It lists every invoice and change order, with filters for Awaiting payment and Overdue. Collections works the past-due list worst-first, with promises to pay, and each customer's balance is rolled up across every job. It needs money access.

Can I import drawing tags into an estimate or invoice?

Yes. Use Import from Tags and pick the measurement. Tags are aggregated by category into summed line items with quantities in each category's unit (SF, LF, or each), and prices auto-fill from your price book — no re-entry. Takeoff does the same thing from the drawing side, with waste applied per product.

How do I convert an approved proposal to an invoice?

There is nothing to convert. A signed proposal is the contract, and you bill the job against it. Tap Bill a Job and the next draw is drafted with the same customer, lines and tax rate. For work you bill in stages, bill each milestone or a percent complete.

How do I record a payment?

Open an invoice with an outstanding balance and choose Record payment. Enter the amount (it can't exceed the remaining balance), pick a method (Cash, Check, Bank Transfer, ACH Direct Debit, Credit Card, Zelle/Venmo, or Other), choose the date, and add a note like a check number. The invoice moves to Partly paid or Paid automatically. Payments taken online record themselves.

Can customers pay online?

Yes, once Stripe is connected in Settings, Getting paid, Card payments. Send the invoice's pay link and choose card only or card plus ACH bank debit. The customer gets a secure payment link and the status syncs back automatically. Customers can also pay from their customer portal.

What is ACH Direct Debit and how does it work?

ACH Direct Debit lets customers pay from their bank account. When you send the pay link, choose card plus ACH bank debit to offer both. ACH fees are 0.8% capped at $5 per transaction. The customer links their bank, with instant verification through Stripe, and funds typically settle in 4 to 5 business days. The invoice tracks the state: Bank Verification Pending, ACH Processing or Payment Disputed.

How long does an ACH payment take to settle?

Typically 4–5 business days after the customer authorizes the debit. The invoice reads ACH Processing until then, and moves to Paid once settled. ACH payments can be disputed by the customer for up to 60 days after the transaction, in which case the invoice reverts to its pre-paid state.

What is a recurring invoice?

A schedule that bills for you, useful for maintenance agreements and service contracts. In Money, use Create, then New recurring invoice. Set a frequency (weekly, bi-weekly, monthly, quarterly or yearly), pick a customer, add lines and set the next due date. The invoices then draft themselves each morning whether or not anyone opens the app. They arrive as drafts, so nothing reaches a customer without your tap. Pause and resume any time.

Can I customize how my documents look?

Yes. Set your business name, address, phone, email and logo in Settings, Company, Business info. Set the theme, brand color, wording and layouts in Settings, Company, Documents. Every proposal, invoice and PDF picks them up. Proposals go further: clause libraries, reusable templates and photo captions.

What is a market?

A market scopes the whole CRM — its customers, jobs, money, price book, tag categories, and phone number. Run one market and you'll never notice it. Run several and people can be assigned to specific ones, seeing only their market's work, while owners switch markets from the header and search across all of them.

Does my CRM data sync between the app and the web?

Yes. Everything is stored in Firestore and syncs in real time between iOS, Mac, and the web dashboard. Sign in anywhere with the same account and you're looking at the same records.

Where did Activity, Priorities and Dispatch go?

They moved. Priorities is the Needs you list on Today. Activity is the bell and Since you looked on Today. Dispatch is the Schedule lens on Jobs. Nothing was removed; old links still open the new place.

Where are my settings?

Open Settings from the rail on iPad, Mac and web, or from More and account on iPhone. Settings has seven categories: You, Company, Selling, Getting paid, Team, App and Integrations. Use the search box in Settings to jump straight to a setting.
