Record Numbers

Every customer gets one evergreen account number, and everything they ever buy nests under it.

Every customer gets one evergreen account number, and everything they ever buy nests under it. One glance at a number tells you whose it is and what it is.

The Account Anchor

A customer's account number is a plain number — 1042 — minted once and never reused. Numbering starts at 1001, so your first customer's number doesn't broadcast how new you are.

Account numbers are company-wide, not per-market. That means a job number is unique across every market you run, and moving work between markets never creates a collision.

  • The account number is evergreen — one per customer, forever.
  • Numbering starts at 1001.
  • Company-wide, so numbers are unique across markets.

Jobs And Documents Nest Under It

A job is the account plus a two-digit index: 1042-01 is that customer's first job, 1042-02 their second. Documents take the account plus a letter and a counter.

The priced document's letter tracks its own lifecycle: a draft carries your company's document letter, a sent proposal reads P, and a signed contract reads C. The number never changes underneath — only the letter that names what the document currently is.

  • Job: 1042-01, 1042-02, …
  • Invoice: 1042-I1. Change order: 1042-CO1. Purchase order: 1042-PO1.
  • Proposal: 1042-P1 — the letter follows the lifecycle to C when signed.
  • Numbering is transactional, so two devices can never mint the same number.

Pro tip: Say the account number on the phone. "I'm looking at 1042-01" gets you and your customer onto the same job in one sentence — and the command bar will jump straight to it.

Work That Starts Before The Customer Does

A job that begins with a measurement — before anyone has been added as a customer — still gets a globally unique number by minting its own account. When you later attach the real customer, the records are reconciled onto that customer's account.

  • Measure-first jobs are numbered immediately.
  • Attaching the customer later reconciles the thread.
